Low Stock Alert Report (Lytning Analytics)
Use this page when you need the list of stock items that have dropped below their re-order level (or minimum level), so you can decide what to order before you run out.
Goal
You need the list of items that are below the re-order level (or minimum level), so you can raise purchase orders, transfer stock from another store, or hold off on promotions until the item is back in stock.
Where this happens
- In the Core App: open Reports & Analytics → Low Stock Alert (top-level sidebar group; the Core App also shows a Below Min tile on the dashboard).
- Direct URL:
https://analytics.pos.co.zm/reorder-stock(opens the same report in a new tab; single-sign-on signs you in).
Prerequisites
- You are signed in to the Core App as supervisor or franchise admin.
- Your role has Reports permissions.
- Pop-ups are allowed for the Core App URL.
- Items have re-order (or minimum) levels recorded — items without a level never appear in the report.
Steps
1. Open Low Stock Alert from the Core App
- In the Core App sidebar, open Reports & Analytics.
- Click Low Stock Alert (or click the Below Min tile on the dashboard).
- A new browser tab opens at Lytning Analytics, signed in.
2. Pick the store
- Pick the store (or All stores for a franchise-wide view).
- The report lists every item that is at or below its re-order (or minimum) level as of now.
3. Read the list
The report shows totals for your chosen period, listing every item at or below its re-order (or minimum) level as of now. Each row shows the item code and name, the on-hand quantity, the re-order level (or minimum level) threshold, and a suggested order quantity (your supervisor configures the rule).
4. Sort by urgency
Sort by on hand ÷ re-order level (the items closest to zero appear first) or by days of stock remaining if the report shows it. Use the urgency sort to focus on items that will run out first.
5. Raise purchase orders for the urgent items
For each urgent item, open Stock Management → Purchase Orders and add the item to a new or draft order. See Purchase Orders.
6. Or transfer stock from another store
For multi-store franchises, check whether another store has the item before raising a purchase order. Use Stock Management → Stock Transfer to move the item between stores. See Transfer stock.
7. Export
Use the on-screen Export button to download the report as CSV.
Expected result
- The report lists every item below its re-order (or minimum) level.
- A urgency sort puts the most urgent items first.
- An export (if made) downloads the list.
Edge cases
- The new tab does not open. Allow pop-ups for the Core App URL and try again.
- You land on the Analytics sign-in page. Sign back in to the Core App and open the report again.
- An item that is clearly out of stock is missing. Confirm the item has a re-order (or minimum) level set; items without a level never appear.
- An item that should be in stock shows below re-order. Check the on-hand figure: it can be a stock-count error, an unposted GRV, or a transfer that has not arrived. Recount the shelf.
- The list is very long. Filter by category or supplier to focus on one area of the store.
