Goal
Pull the right report for sales, stock, cash, VAT, customers, or activity for a chosen period.
Where this happens
- In the back office (Core App): Reports & Analytics group — Standard Reports (Legacy Reports, New Reports Platform), Financial Reports (VAT Reports, VAT Codes Guide, Income Statement, Cash & Accounts, Expense Reports, Cash Flow Statement), Inventory Reports (Stock Value, Low Stock Alert, GRV Reports), Data Export (Sales Dump Export). Cashup Reports also appears under Sales Management.
- In the Lytning Analytics app (opens in a new browser tab): each Reports & Analytics sidebar item (for example VAT Reports, Sales Reports, Cash Flow Statement) opens the Lytning Analytics app at

The Core App's Reports & Analytics sidebar items (for example VAT Reports, Sales Reports, Cash Flow Statement) do not run inside the Core App. Clicking them opens the Lytning Analytics app (analytics.pos.co.zm) in a new browser tab with single-sign-on. Use reports to check sales, stock, cash, VAT, customers, and activity for a chosen period.
Problem
You need evidence for a supervisor, cashup, stock review, or finance check.
Prerequisites
- You know the date range and store you need.
- You have permission to open the report.
- You know whether the report should show saved or completed transactions only.
Common reports a supervisor runs first

VAT Codes Guide (what each code means)
The VAT Codes Guide is a reference page in the New Reports Platform that explains every VAT code your store uses — what each code means, when it applies, and how it shows on a receipt or VAT report.
Open it from Reports & Analytics → VAT Codes Guide. Use it when you:
- Are not sure which VAT code to assign to a new stock item.
- Need to explain a VAT code on a receipt to a customer or your accountant.
- Want to confirm the standard, zero-rated, and exempt codes your franchise uses.
How to read a VAT code entry
Each entry shows:
- Code — the short code the till uses (for example
STD,ZERO,EXEMPT). - Description — what the code means in plain language.
- Rate — the percentage that applies (varies by country and by franchise policy).
- When to use — the kind of item or transaction the code is meant for.
Which code to pick for a new item
Pick the code that matches the item's tax treatment:
- Standard-rated — most goods and services. Default code.
- Zero-rated — exports and a small set of essentials (the list depends on your country; confirm with your accountant).
- Exempt — items outside the tax net (different from zero-rated; confirm with your accountant).
- Out of scope — sales or purchases that are not part of your VAT return (for example, certain inter-company transfers).
When in doubt, ask your accountant or ZRA — the Wiki cannot list every country's VAT code rules. Wrong codes affect your VAT return.
Where the codes apply
VAT codes are set on stock items and on transaction lines. Once set, the codes flow through:
- The till receipt (shows the code and the VAT amount on each line).
- The VAT Report (totals per code for the period).
- The VAT Codes Guide (the reference list).
If a receipt shows the wrong VAT amount, the cause is usually the code on the stock item, not the till. Fix it under Stock Management → Edit Stock and re-issue the receipt.
Smart Invoice disclaimer (Zambia)
In Zambia, VAT input claims require Smart Invoice-generated receipts from 1 January 2026. The VAT Codes Guide lists codes, but the Smart Invoice Mark ID + QR code on the printed receipt is what makes the receipt valid for VAT input claims. See ZRA Smart Invoice for the receipt check.
Steps
- Open Reports & Analytics and choose Reports.
- Select the report type.
- Choose the store, date range, and any category or payment filters.
- Click Search, Generate, or View.
- Check the report title, date range, store, and totals before using it.
- Export or print it only when your store policy allows it.
For VAT or accounting reports, use the relevant report option and keep the period consistent with the finance team.
Expected result
The report shows the intended store and period, with totals that can be traced to the underlying transactions.
Edge cases
- The report is empty. Widen the date range and confirm the store filter.
- Totals differ from cashup. Compare payment type and completion status; ask a supervisor before correcting records.
- The export is incomplete. Check filters and wait for the export to finish before closing the page.
- You need a report not listed. Tell Support the report purpose, store, and date range rather than selecting a similar report.
