Debtors Reports (Lytning Analytics)
Use this page when you need the list of customers who owe the store money, the ageing of those balances, or a single customer's activity for a period.
Goal
You need the debtor balances and ageing for a chosen period so you can follow up on overdue accounts, hand the figures to your accountant, or investigate a single customer's activity.
Where this happens
- In the Core App: open Reports & Analytics → Debtors Reports (top-level sidebar group).

Prerequisites
- You are signed in to the Core App as supervisor or franchise admin.
- Your role has Reports permissions.
- Pop-ups are allowed for the Core App URL.
- You know the period or ageing bucket you want (current, 30 days, 60 days, 90 days, older).
Steps
1. Open Debtors Reports from the Core App
- In the Core App sidebar, open Reports & Analytics.
- Click Debtors Reports.
- A new browser tab opens at Lytning Analytics, signed in.
2. Pick the period and store
- Choose the as-at date (the date you want the balances to be valid for).
- Pick the store (or All stores for a franchise-wide debtor list).
- Confirm the date is correct before reading the figures.
3. Read the debtor list
The report shows totals for your chosen period, listing every customer with an outstanding balance. The debtor's name, balance, and ageing bucket (current, 30 days, 60 days, 90 days, older) are all shown on each row.
Sort by ageing to see the oldest balances first; those are the customers to follow up on.
4. Drill into a single customer
Click any customer to see their activity for the period: invoices, payments, refunds, credit notes. Use this to confirm a balance before you call the customer or hand the figure to your accountant.
5. Compare to the back-office view
The same debtor list is in the Core App under Customer Management → Franchise / Main Debtors. Use the Core App to update a customer's details; use Lytning Analytics to read the report.
6. Export
Use the on-screen Export button to download the report as CSV. Share with your accountant by the channel they prefer.
Expected result
- The report lists every customer with an outstanding balance and the ageing for that balance.
- A drill-down shows the invoices and payments behind each balance.
- An export (if made) downloads the debtor list.
Edge cases
- The new tab does not open. Allow pop-ups for the Core App URL and try again.
- You land on the Analytics sign-in page. Sign back in to the Core App and open the report again.
- A balance looks wrong. Open the customer's drill-down; check for unpaid invoices, unallocated payments, or credit notes that have not been applied.
- A customer is missing from the list. They have a zero balance. Use Customer Management → Edit Customer to check the account is set up as a debtor.
- The ageing bucket is empty. Pick a wider as-at date.
