Sales
Goal
Ring a sale at the till, take payment, give the customer a receipt, and keep the reference for your records.
Use this page when you need to record a sale, take payment, issue an invoice or quote, process a refund, or manage a layby (older notes call this a lay-by).
Which app you should open
The cashier rings up sales on the till app. Which app you open depends on the store:
- Retail store — open the Retail POS App on the till.
- Restaurant — open the Restaurant POS App on the till.
- Pharmacy or wholesale-style store — open the Retail POS App on the till. Pharmacy-specific controls (batches, expiry, suppliers, approved adjustments) are managed from the back office.
The back office (Core App) is for supervisors and franchise admins who invoice, quote, run cashup reports, and set up loyalty.
Where this happens
In the back office (Core App) — open Customer Service → View Invoices (or Customer Management → View Invoices) to look up and refund an invoice. Open Sales Management for invoice, quote, Cashup Reports, and Active Specials. Loyalty Setup sits under Add-ons & Integrations.
On a Standard till (Retail POS App) — open the POS screen (the till's own Sales drawer item) to ring up a sale. Open Refund for till-side refunds.
On a Standard till (Restaurant POS App) — open the POS screen to ring up a sale. Open Refund for till-side refunds.
Roles that can do this: cashier (till); supervisor or franchise admin (back office).
Selling when the internet is down
Lyt-ning is built so the till can keep selling when the internet drops. The till app (Retail POS App or Restaurant POS App) saves each sale on the device and uploads it automatically when the connection returns, so cashiers can keep ringing up cash sales during an outage.
- The till can usually keep taking sales, scanning items, and printing on a local printer.
- Sales save on the device and upload themselves once the connection returns — no double-counting.
- Do not force-close the app or clear device data during an outage.
- Cloud-only screens wait until the link is back. Do not resubmit the same sale from another device.
Open the full guide: Working offline covers what works offline, what waits, how to recover when the connection returns, and what to do if offline selling is blocked.
Problem
A customer is ready to buy, or you need to find a previous sale and correct it.
Prerequisites
- You are signed in to the correct store.
- You can see the sales or invoice screen for your role.
- Items, prices, and payment method are confirmed before saving.
Steps
Record a sale or invoice
- At the till, open the POS screen (the till's own Sales drawer item). In the back office, open Sales Management to invoice, quote, and run cashup reports; Loyalty Setup is under Add-ons & Integrations.
- Scan each item, or search by stock code or description.
- Check quantity, price, discount, and customer details.
- Choose the payment method and enter the amount received.
- Confirm the change or balance due, then click Save or Complete.
- Give the customer the receipt or invoice number.
Save a quote
- Add the customer and items as for a sale.
- Choose Quote instead of completing payment.
- Check the validity dates and totals.
- Save the quote and give the customer its reference.
Refund a previous sale
- Open Customer Service → View Invoices (or Customer Management → View Invoices) and search by invoice number or customer. (The Wiki groups this under "Customer Management"; the in-app short-cut group is Customer Service.)
- Open the original sale and confirm the items being returned.
- Follow your store's approval rule for the refund.
- Record the refund using the same payment method where possible.
- Save and keep the refund reference with the original receipt.
Record a layby
- Open the Layby Customers screen (in the back office, under Customer Management) or the layby option on the till.
- Select or create the customer record.
- Add the items and agree the deposit and payment dates.
- Save the layby and give the customer the reference.
- Record each later payment against the same layby.
Expected result
The sale, quote, refund, or layby has a reference number; stock and the customer balance show the saved transaction.
Edge cases
- An item cannot be found. Do not guess the price. Search by description, then ask a supervisor to create or correct the item.
- The payment amount is wrong. Do not complete the sale. Check the amount and payment method first.
- A refund is blocked. Ask a supervisor to confirm the original sale and approval requirement.
- The customer wants an invoice. Select the customer before saving so the invoice is linked to the right account.
